Role:

  • To assist and advise in the management of school finances.
  • To undertake responsibility for the routine procurement and book keeping functions of the school.
  • To provide financial and management information as required.
  • To manage the letting of school facilities and maximise income.

Duties and Responsibilities:

  • To supervise the sales, purchase and nominal ledgers and to input data as necessary.
  • To ensure all income is received and recorded.
  • To manage the cash book, input of data and ensuring that bank reconciliations are completed monthly or as appropriate.
  • To manage the school fund and liaise with auditors as necessary.
  • To provide information and reports including budget monitoring for Governors, Head and Budget Managers.
  • To analyse and monitor whole school and departmental budgets and provide advice and assistance as necessary.
  • To maintain and manage VAT records and produce the monthly VAT return.
  • To produce virement reports as necessary.
  • To advise departments on day to day financial queries.
  • To manage Parentpay and school input to the cashless catering system.
  • To assist with month end closure highlighting any variances or overspend to the School Business Manager including completing monthly prepayment and accrual journals.
  • To supervise the purchase and procurement process including the preparation of BACS and cheque runs.
  • To assist with the maintenance of the fixed asset register.
  • To ensure the finance policy is adhered to and to ensure that three quotes are received when purchasing items over £5k.
  • To maintain a register of business interests for all key staff.
  • To provide information for management and audit purposes as required.
  • To organise school transport requirements as necessary.
  • To undertake general and finance and administrative tasks as directed.
  • To manage the letting of school facilities and maximise income.
  • Assist with the overview of the tendering exercise and make recommendations on which contractors to engage.
  • Ensure all qualifying grants are accessed with the correct paperwork.
  • To be responsible for processing funding income, delegated and ad hoc.
  • To assist with and supervise year end closure.
